How license tracking works.

License tracking starts with initial verification at hire and continues throughout employment. The system handles expiration monitoring, status checks, and alert delivery automatically.

Step 1

Initial license verification

At hire, licenses are verified through primary source (state boards, certification bodies). Details are captured: number, type, issuing state, expiration date, status.

Step 2

License added to tracking

Verified licenses are automatically added to ongoing tracking. The system monitors for expiration, status changes, and disciplinary actions.

Step 3

Expiration alerts are triggered

As expiration dates approach, alerts are sent to designated recipients. Alert timing is configurable (90, 60, 30 days before expiration).

Step 4

Status and disciplinary monitoring

Licensing board databases are monitored for status changes and disciplinary actions. Suspension, revocation, or discipline generates an immediate alert.

Step 5

Renewal verification

When an employee renews, the updated expiration date is captured (self-reported with verification or re-verified at the board) and the tracking record updates.
